Data Protection Training is mandatory for all staff. Under the General Data Protection Regulation (the GDPR) and the Data Protection Act 2018 the Education Authority (EA) is required to ensure that all EA corporate staff receive appropriate data protection training (and refresher training at appropriate intervals).

What do I need to do?

School Staff

A series of online programmes are available to help support staff, schools, governors and education sector stakeholders comply with the Data Protection Legislation. Currently there are two training modules which school staff can complete. These modules can be viewed on any device using the 'Data Protection Training Modules for Schools' link below.

A register of completion should be maintained by the School Principal. For further information please contact the Information Governance Unit by emailing [email protected] or by telephone on 028 9047 5011.

This training is intended for school staff & volunteers such as Principals, Teaching Staff, Classroom Support Staff, Office Staff and those who process personal information in relation to the running of the school and the processing of pupil personal data on behalf of the school. All other staff based in schools who are employed by EA such as Catering Staff & Transport Staff should complete the Frontline EA Staff Modules available under 'Frontline EA Staff - Staff with no access to corporate systems.'

EA Corporate Staff Mandatory GDPR Training

You must watch the mandatory data protection training video which is available to all staff with direct access to EA corporate emails and SharePoint by clicking on the link below. There are a number of intervals during the training video when you will be required to answer some questions before proceeding. At the end of the training video there is a training registration form which you MUST complete and submit to register your completion of this training.

Click on the link above to access this training: If you are not already logged into Office 365 when you click on the above link, you will be prompted to sign in using your EA logon account username with the @eani.org.uk suffix (some users also have a number following their first name-initial in their logon username) and to then confirm your usual EA login password.

As the above link is only available to staff with direct access to EA corporate emails and SharePoint, instructions for line managers with colleagues and team members who do not have direct access to EA corporate emails and SharePoint can be found in the Frontline EA Staff Modules available under 'Frontline EA Staff - Staff with no access to corporate systems.'

Any EA corporate staff that have access to the C2k Network must also read C2k Information sheet EN122 (Getting started with Microsoft Office 365) as it sets out guidance on the secure use of Office 365 / MS Teams when using the C2k network. This guidance is available to C2k users here.

Corporate EA Staff with access to C2K systems (literacy teachers etc)

EA corporate staff that do not have direct access to EA corporate emails and SharePoint but do have access to the C2k network can access the mandatory data protection training video by clicking on the link below.

Any EA corporate staff that have access to the C2k Network must also read C2k Information sheet EN122 (Getting started with Microsoft Office 365) as it sets out guidance on the secure use of Office 365 / MS Teams when using the C2k network. This guidance is available to C2k users here.

Once you have read the Information sheet above and watched the video you should complete the registration form below.

Frontline EA Staff - Staff with no access to corporate systems (drivers/escorts etc)

Information Governance has developed a shorter Introduction to Data Protection training video for EA corporate staff that do not have access to EA corporate emails and SharePoint or access to the C2k network (e.g. bus drivers, bus escorts, fleet maintenance staff, crossing patrol staff, cleaning staff, catering staff, caretakers and grounds staff, part-time youth service workers and volunteers etc.).

This training video is not sufficient for EA corporate staff with access to EA corporate emails and SharePoint or with access to the C2k network as it does not include detailed training on the secure use of email and MS Teams which is mandatory for such staff.

EA corporate staff that do not have direct access to EA corporate emails and SharePoint or the C2k network can access the mandatory Introduction to Data Protection training video developed for such staff using the link below.

When the training has been completed by such staff, they MUST also then complete and submit the questions and the training registration form available below, to register their completion of this training.
